Accounts Payable Topic: Check Cancellation

Description 

A check may only be canceled (or voided) if the original check has been returned by the payee/vendor.

Common reasons to cancel a check or request a stop payment are:
   - check is over 90 days old
   - incorrect address for the payee
   - incorrect payee (name misspelled, etc.)


Procedure

To void or cancel a check and, if necessary reissue it:

  • If the check stub is not attached, write "VOID" on a separate page or Post-It Note - NOT ON THE CHECK ITSELF - and state whether to:
    • "Void and do not reissue"; or
    • "Void, reissue to the following payee address, and provide the correct address the check should be mailed to
  • If the check stub is attached, indicate on it whether to:
    • "Void and do not reissue" or
    • "Void, reissue to the following payee address, and provide the correct address the check should be mailed to.
  • Mail the check and instructions to Accounts Payable (Mail Stop 1053) or hand carry to the Accounts Payable Office (CSB-245).


Some things to remember:

  • Generally the check will be canceled (and, if requested, reissued) within 24 hours of its receipt by Disbursements.

  •  
  • Questions concerning a check cancellation should be referred to the Travel Team for travel related checks(x1156). And to the Vendor Team for vendor related checks (x1157).
